  1. OIC Academy (OICA) is committed to promoting equal opportunities for all participants.
  2. By submitting the online application form, you are confirming you wish to make a booking for our online classes.
  3. The reservation will be fully confirmed once we receive full payment of the course fees.
  4. We reserve the right to cancel or amend a reservation if your lessons should become unavailable. In such circumstances you will be informed as soon as possible, and we will look to make alternate arrangements.
  5. If the student is unable to attend a class, they or the parents/guardian/agent are required to provide at least 48 hours’ notice of this in order to have the class rearranged free of charge. Please note that our office is closed over weekends, so any notice of rearrangement must be provided before 16:30 on the Friday. Unnotified student absences will not be rearranged.
  6. In the event that the student is unable to attend a class due to illness, we are able to exercise discretion on rearranging the class free of charge. However, this is dependent on the office staff being informed as early as possible so that the tutor can be made aware. The student must also inform the tutor of their absence by either messaging them on Microsoft Teams, or by using their oxford-education-online email account. This is especially important if the student is providing notice of their absence outside of office hours.
  7. In the unlikely scenario that a tutor becomes unavailable on the day of the lessons, we will rearrange these classes for another time free of charge. If the need to rearrange the classes prevents the student from still requiring the classes (e.g. if the rearranged date falls after their exam in the subject), we will be able to offer a refund for the lessons, or an alternate solution.
  8. We reserve the right to immediately cancel the classes of any student whose behaviour we deem to be unacceptable, without refund of fees.
  9. Students are not permitted to exchange personal contact details with their tutors. If they wish to contact a tutor directly, they should correspond using the oxford-education-online email account provided to them. Otherwise, they should contact the office staff, who can pass messages on to the tutor.
  10. Please note that we operate a ‘no complaint – no refund’ policy. This means that if we are not informed of an issue as soon as possible and whilst the classes are still running, we cannot retrospectively offer a refund or alternative solution. We pride ourselves on the quality of our classes, so, if there is an issue, we would like the opportunity to address it.
  11. In the event that the student is late to a class, the tutor is not obligated to make up the time lost resulting from the student’s lateness. If the student is not in attendance 20 minutes after the scheduled start time, the tutor is not obligated to stay in the class beyond this point. Any lessons lost due to lateness will not be rearranged or refunded.
  12. If you decide to cancel your booking prior to the lessons commencing, your entitlement to a refund is as follows:
    • Over seven days before the first lesson: 75% refund
    • Less than seven days before the first lesson: 50% refund
    • Less than 48 hours before the first lesson: no refund
  13. Please note the onus is entirely on the parent or guardian to claim any refunds. All refunds must be claimed within 1 month of the finish of the course.

OIC Academy (OICA) reserves the right to refuse admission to any course without explanation. Applicants do not have the right to appeal.
